Job Responsibilities
Traffic Coordinator:
Monitor the un-booked report for their respective locations
Book all shipments within 4-6 weeks
Enter booking confirmation in e-ADM and request drayage accordingly
Once order is loaded, release booking in e-ADM once all confirmed requests from the booking request have been notated on either the address screen or the remarks screen
All product descriptions/values/additional contact information should match what is listed in the booking request
Booking request, drayage, confirmation, and shipping advice should be printed before handing the pack to the Documentation Coordinator if you are located in the Decatur Office; if located outside the Decatur office, all mentioned documents should be emailed to the Documentation Coordinator with booking number, doc cut, and CSR
Documentation Coordinator:
Once pack is received from Traffic Coordinator, Master/SED should be sent to the carrier
Once Masters are available in Document Direct, print out the Master to put with the respective pack
please ensure that all notes on the booking request are notated appropriately on the Master
If notes are missing, please return the pack to the Traffic Coordinator to clarify and add
Packs should be in sail date order and proofed as soon as carrier provides draft
Draft BL should be proofed against the Master line by line if CSR requests draft, please send it
Any changes should be sent to the carrier as soon as received
CSR request changes: If changes were not listed on the booking request at all or are different than what was listed, Documentation Coordinator should update
CSR Request changes: If changes were listed on the request but either missed/misinterpreted, pack should be given back to the Traffic Coordinator to investigate and update
Once draft is approved, notate on pack and print documents as soon as finals are available
Deliver documents to the CSR personally if OBLS were requested, email documents if Seaways
Once delivered, upload documents to e-ADM, and send the invoice to Amanda for processing
Updates:
Sail date changes within five days should be investigated, pack should be given back to the Traffic Coordinator and new confirmation should be requested
Rolls/Splits should be investigated, pack should be given back to the Traffic Coordinator
All changes should be communicated to the CSR of the shipment
If Traffic Coordinator had to investigate or change the booking-the email should be sent by them with the Documentation Coordinator on copy
If Documentation Coordinator was able to update-the email should be sent by them with the Traffic Coordinator on copy
