CARIAN is a women-owned consulting and advisory firm exclusively serving the power, renewables, and utilities sectors. We are seeking a highly organized, proactive, and reliable Office Administrator to manage the daily operations of our office and support departmental functions.

This is a contract-to-perm opportunity for a hands-on professional who thrives in a fast-paced environment, takes ownership of their responsibilities, and ensures the smooth functioning of our office.

Responsibilities

Office Operations:

  • Open and close the office daily, ensuring the workspace is ready for staff and visitors.

  • Manage office supplies, vendor relationships, and maintenance requests to maintain a professional and efficient environment.

  • Serve as the primary point of contact for all office-related inquiries and needs.

  • Coordinate meeting room schedules, greet visitors, and handle front-desk responsibilities.

Administrative Support:

  • Provide scheduling, calendar management, and travel coordination for executives.

  • Assist with creating reports, presentations, and other administrative tasks as needed.

  • Oversee mail distribution, shipping, and other office logistics.

Event & Employee Engagement Coordination:

  • Plan and execute employee engagement activities such as holiday events, company picnics, and team lunches.

  • Coordinate catering and food orders for meetings and events.

  • Support onboarding of new employees by preparing workstations and welcoming them to the team.

Departmental Support:

  • Collaborate with HR, Talent Acquisition, Marketing, Business Development, and IT teams to provide administrative assistance.

  • Help with scheduling interviews, maintaining personnel records, and managing small projects.

  • Serve as a liaison for departmental requests and coordinate cross-functional activities.

Required Skills:

  • Bachelor’s degree in Business Administration, Communications, or a related field (required).

  • 3+ years of experience in office administration or a related role.

  • Strong organizational and multitasking skills with exceptional attention to detail.

  • Excellent verbal and written communication skills.

  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).

  • Ability to be on-site 5 days a week and handle opening and closing duties reliably.

Preferred Skills:

  • Familiarity with scheduling tools and office management software.

  • Experience supporting executives or senior leadership teams.

  • Event planning or coordination experience is a plus.
