IRISNDT is seeking a detail-oriented HR Assistant to support our Human Resources department. The primary responsibilities of this role include managing and organizing confidential documents, assisting with offboarding processes, and ensuring proper record retention. The HR Assistant will play a crucial role in maintaining the integrity and confidentiality of human resource files and records and must possess excellent organizational skills and attention to detail. Job Summary:

The primary responsibilities of this role will include scanning confidential documents, ensuring they are correctly named, separating documents using Nitro Pro, renaming files, and uploading them to BBHR. This role requires a high level of attention to detail and excellent organizational skills to maintain the integrity and confidentiality of human resource files and records.


Key Responsibilities:

  • Document Management:
    • Scan confidential HR documents, ensuring accurate naming conventions are applied.
    • Use Nitro Pro to separate, sort and name documents.
    • Upload scanned documents into our HRIS system and organize them in the appropriate personnel folders.
  • Record Retention:
    • Maintain accurate and up-to-date human resource files, records, and documentation.
    • Help ensure compliance with company policies and legal requirements related to record retention.
  • Offboarding Support: Manage the archiving of former employee records in accordance with company policy and legal guidelines
    • Assist with the offboarding process, including preparing necessary documents, coordinating exit interviews, and ensuring all employee records are properly updated and retained.

  • Confidentiality and Compliance:
    • Help maintain the integrity and confidentiality of human resource files and records.
    • Help to ensure that all HR processes comply with relevant laws and regulations.
  • File Maintenance:
    • Maintain accurate and up-to-date human resource files, records, and documentation.
    • Ensure the integrity and confidentiality of all human resource files and records.
  • General HR Support:
    • Provide general administrative support to the HR team as needed.
    • Assist with other duties related to HR administration as assigned.


    • Attention to Detail: A critical requirement for ensuring accuracy in document naming, separation, and organization.
    • Organizational Skills: Excellent organizational skills are essential for managing multiple documents and tasks efficiently.
    • Confidentiality: Ability to manage sensitive and confidential situations with the highest level of professionalism, tact, and diplomacy.
    • Communication: Strong written and verbal communication skills for effective interaction with team members and management.
  • Technical Proficiency:
    • Proficient in Microsoft Office Suite or similar software.
    • Ability to quickly learn, HRIS, and other related computer applications.
    • Experience with Nitro Pro and BBHR (or similar document management systems) is a plus.


Education and Experience:

  • High school diploma or equivalent required;
  • Previous experience in an administrative or HR role is desirable.
