Job Summary


Join UT Southwestern as a Contract Administrator II in the Contracts Management department. The Contract Administrator II coordinates contracts review and execution and tracks processes to fulfillment. Prepares and reviews payment applications and contract items for the Capital Projects Division review and approval. Enters and tracks invoices and commitments in e-Builder or other project management software. Supports Project Managers to resolve contractual and invoice issues.


Prior knowledge of contracts is a plus.


This position falls under a hybrid work model and is not fully remote.

Required Experience and Education


Bachelor’s degree, preferred, with no experience; Associates degree with 2 years administrative experience; High school diploma or equivalent with 4 years administrative experience.


Job Duties



  • Facilitates the sourcing and contracting of medical/surgical products, equipment and services for UT Southwestern in collaboration with end-users, Group Purchasing Organizations, and Contracts Management in alliance with contract compliance and expense reduction initiatives.

  • Responsible for ongoing vendor relationship and contract management.

  • Coordinates with end-users in preparation of RFX and provides direction on recommended sourcing approaches based on Contract hierarchy and federal and state regulations.

  • Implement a Value Based selection process and positions the Office of Purchasing as a trusted advisor.

  • Review transactional data to identify opportunities resulting from improved pricing and verify expected outcomes after implementation.

  • Coordinates contracts review and execution and tracks processes to fulfillment.

  • Reviews contracts to ensure that terms are in accordance with UT Southwestern policies and procedures.

  • Monitors contractors for HUB and insurance compliance in accordance with contractual requirements.

  • Provides effective record keeping ensuring that all contract documents are readily assessable.

  • Compile information and respond to internal and external audit requests.

  • Performs other duties as assigned.


This position is security-sensitive and subject to Texas Education Code §51.215, which authorizes UT Southwestern to obtain criminal history record information.
